Recovering deleted Outlook emails, OneDrive files, contacts, meetings or word documents is important for individual employees and the entire company. Data integrity in MSO 365 is hampered by accidental data deletion, lanceware, zero-day attacks, and people’s internal activity. This article presents different ways to recover delete items in Microsoft 365.

Method 1: Recover from deleted items and recycle the cistern as user.

Users can retrieve items from various Microsoft 365 services using this way. If there is no backup and the user can’t restore lists, an administrator can log in as a user and recover deleted items.

How to recover Outlook deleted emails:

  • Select the deleted folder in Outlook.
  • Locate the email or item to recover. Right-click and choose Recover. You can also move and choose the recovery folder.
  • Congratulations! The item was restored to the original folder, usually a mailbox.

Please note that if your email is not in the deleted item folder, or if you clear it, try searching for it in the recoverable item file, which we will discuss in the following article.

How to recover deleted items in OneDrive

Open OneDrive and search for the Storage Box folder in the left bar.

Search for deleted files or folders, then right-click and select Recover

The item will be restored to its previous location in OneDrive.

Please note that this method is valid within 30 days after deletion and does not work for files that have been permanently deleted from recycling tanks.

Method 2: Recovery from a removable item or second recyclable tank.

To prevent data loss, Microsoft 365 stores deleted items in recoverable items and holds a second recycling box for an additional 30 days. Here’s how to recover emails from recovered items folders:

  • Open Outlook and select the deleted folder.
  • Click on “Recover Deleted Items from This Folder”
  • Find the list you want to restore. Right click and select Restore. You can select multiple lists by pressing the left-click button and the Shift button.
  • The user’s file has now been successfully restored to the original folder or deleted item file, depending on the version of Outlook.

Keep in mind that lists in recoverable items folders are not permanently stored. Depending on retention settings, they may be deleted after 30 days. To protect your organization’s information, please consider using backup software for Office 365.

To recover a deleted OneDrive item from the recycling tank in the second step as a user, follow the following steps:

  • Access OneDrive Recycle Bin
  • Scroll down and click on the link to the second recycling tank.
  • In the relevant tab, take the list you want and right click on it.
  • Select a reset from the remove menu and the item will be reset.

Method 3: Restore deleted items from Office 365 as an administrator.

As a Microsoft 365 administrator, you can recover deleted items, but there are certain limitations. You must be a global administrator to complete the process, and this method does not apply to items that have been removed from recoverable items folders.

The main concept of this method involves using In-Place eDiscovery Hold to recover deleted items. Follow these steps:

  • Launch the Office 365 admin app.
  • In Admin Centre, click Exchange.
  • Go to Permissions in Exchange Admin.
  • Select a discovery manager in Admin Role Panel and click Edit.
  • Click Add in the membership section of Discovery Manager and add yourself. Save changes.
  • Sign in again.
  • Visit Microsoft Purview. Search left menu for eDiscovery and select Standard or Premium.
  • On the eDiscovery page, click Create a case, name and describe it if needed, then choose a case from the list.
  • On the case page, choose Search in the menu above and click New Search (+).
  • If desired, name and describe the search. Then click Next.
  • Localise Exchange Mailboxes, SharePoint Websites, and Exchange Public Folders. Adjust settings for your search and click Next.
  • Set up search with a KQL editor or generator. Include keywords, names, senders, types, builds, etc.
  • Click Send after checking search parameters.
  • Check the case page state, click Action, then pick Export results from the Unmount option after the search.
  • Set Exchange Content Export Options
  • Your computer will download the data. Your user’s OneDriv may effortlessly receive OneDrive documents. Outlook file recovery requires desktop Outlook. Open Outlook File Tab. Select Open Outlook Data File from Open Export. Pst file.
  • Click OK after file search.
  • Outlook will add a.pst folder. Right-click to transfer the recovered folder.
  • Select a folder (e.g., Mailbox for email) to move the item.
